Privacy and cookie policy
This explains what information Markeb Media collects, why we collect it, who we share it with and the choices you have. We've kept it as plain as we can.

1. Who we are
Markeb Media Ltd is a property media company based in Sheffield, registered in England and Wales (company number 15919272, VAT number 498444731). We are the controller of the personal information described here.

2. What we collect
Information you give us
- Enquiries and quotes: your name, company, email, phone number and message when you use our contact form, request an events quote or ask about photo editing.
- Marketing audit: your answers, score, name, agency, email and phone number.
- Bookings: your contact details, the property address, access notes, the services you choose and your booking history.
- Client accounts: your name, company, email, phone and a securely scrambled (hashed) version of your password. We never see or store your actual password.
- Payments: card payments are handled by Stripe. We never see or store your full card number; we only keep a record of what was paid and when.
- Strategy calls: the details you enter when you book a call through Microsoft Bookings.
Information collected automatically
- Booking progress: on our booking and quote pages we record which steps you reach and what you choose, linked to the email you give us, so we can see where people get stuck and follow up on unfinished bookings.
- Email activity: our emails can tell us whether they were opened and which links were clicked.
- Technical information: like every website, our hosting provider receives your IP address and browser details when you visit, and uses them to deliver the site and keep it secure.
3. How we use it
- To reply to enquiries, prepare quotes and send your audit results.
- To take, schedule and manage bookings, send confirmations and reminders, and deliver your content.
- To take payment, send invoices and keep our accounts.
- To run your client dashboard.
- To improve our website and booking process.
- To send you relevant updates about our services (see Emails from us).
- To keep our systems and your account secure, and to prevent misuse.
Your marketing audit answers are analysed with the help of an AI service so we can give you tailored recommendations. We don't use your information to make decisions that have legal or similarly significant effects on you.
4. Our lawful reasons
- Contract: to carry out a booking or service you've asked for, or to take steps you've asked for before one (such as a quote).
- Legal obligation: to keep financial records for tax and accounting.
- Legitimate interests: to run and improve our business, follow up on enquiries and unfinished bookings, send relevant business updates and keep our site secure. We always weigh these against your interests and rights.
- Consent: for optional cookies (see Cookies). You can withdraw consent at any time.
5. Who we share it with
We don't sell your information. We share it only with trusted providers who help us run our services, and only what they need:
- Netlify: hosts our website and systems.
- Airtable: stores our booking, client and enquiry records.
- Resend: sends our emails.
- Stripe: processes card payments.
- Xero: our accounting software.
- Anthropic: the AI service that helps prepare marketing audit analysis.
- Google: address lookup on our booking pages, and the fonts used on our site.
- Microsoft: strategy call booking.
- Vimeo: plays our podcast videos.
- Our media specialists: the photographer, videographer or other specialist carrying out your shoot receives the booking details they need.
Some of these providers store information outside the UK. Where they do, the transfer is protected by safeguards recognised under UK data protection law, such as the UK adequacy regulations or the International Data Transfer Addendum.
We may also share information if the law requires it, or to protect our rights, our clients or the public.
6. Emails from us
If you're a client, or you've contacted us or completed our audit, we may email you about our services, where it's relevant to your business. Every marketing email has an unsubscribe link, and you can also email commercial@markebmedia.com to stop them. We'll still send emails you need about bookings, payments and your account.
7. How long we keep it
We keep information only as long as we need it for the reasons above. Financial records are kept for six years, as UK law requires. Booking and client records are kept while you're a client and for a reasonable time afterwards in case of questions about past work. Enquiries and marketing contacts that don't go anywhere are reviewed regularly and removed when we no longer need them, or straight away if you ask.
8. Keeping it safe
Our site only works over an encrypted connection (HTTPS). Passwords are stored as one way hashes, sign in attempts are limited to stop guessing, staff areas need their own login, and access to records is limited to people who need it.
9. Your rights
Under UK data protection law you can ask us to:
- give you a copy of the information we hold about you;
- correct anything that's wrong;
- delete your information;
- restrict or object to how we use it, including for marketing;
- send your information to you or another organisation in a common format.
Email commercial@markebmedia.com and we'll respond within one month. If you're unhappy with how we've handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
10. Cookies
Cookies and similar technologies (such as your browser's local storage) are small pieces of information saved on your device. We keep ours to a minimum and we don't use any advertising or cross site tracking cookies.

Content from other companies
Some pages include content from other companies, who receive your IP address when it loads and may set their own cookies under their own policies:
- Google Maps for address lookup on booking pages, and Google Fonts for our typefaces.
- Vimeo for podcast videos. We load these in Vimeo's "do not track" mode, which stops Vimeo tracking you.
- Microsoft Bookings on our strategy call page.
- Stripe on payment pages.
You can also block or delete cookies in your browser settings. Blocking essential ones may stop parts of the site working.
